What you'll be doing

Executive assistant assists VP in preparing or editing executive presentations to various levels of management, including audit committee, executive committee, and board of directors. The candidate prepares correspondence, memoranda, reports, and presentations to regulatory authorities using a variety of software and business applications. Exercise independent judgment in creating the appropriate format and information to be included in documents ranging from routine to complex. Candidate support VP in management of 35+ person tax function, including new employee setup, budget tracking, vendor relations, coordination of internal & external meetings & calendars, travel and expense, supply ordering, record retention, archival & retrieval of files, check requests, certified mail and various administrative duties screen telephone calls and visitors, uses discretion and independent judgment to determine appropriate course of action and resolve routine and complex inquiries. Utilizes discretion and judgment to initiate routine/non routine correspondence in response to mail/email as appropriate. Daily pick up of tax checks from treasury, sorting and delivering high volume of incoming tax mail, processing of tax vendor invoices, and maintenance of permanent files.

What your background should be

Applicant should have 10-15 experience. Prior admin experience in large tax dept. Expert working knowledge of excel, ms office, and powerpoint. Excellent verbal and written communication skills. Excellent organizational skills, strong ability to multi task and work effectively cross functionally.
