What you'll be doing

The administrative assistant associate directly and indirectly supports a variety of program faculty and staff. Serves as first point of contact for a high-traffic, multi-program office includes, answering phones, directing calls to appropriate staff, answering electronic correspondence and greeting visitors. Drafts, proofreads, and/or edits correspondence of a highly confidential nature. Coordinates calendars for meetings of program staff/personnel. Initiates, coordinates, and schedules other meetings as requested. Utilizes and updates various databases containing program data. Collects and tabulates data for forms and reports. Completes various recruiting, admissions, program, and event communications related tasks as assigned. Orders and maintains inventory of office supplies troubleshoot copier/printer needs, including maintenance calls and supplies. Receives/sorts/distributes mail and faxes, organizes/maintains files. Handles and responds to routine correspondence and requests. Works to identify and eliminate office operations inefficiencies. Purchases goods and services for staff and faculty and reconcile purchases in concur. Maintains records of purchase and monitors assigned budgets (e.g. Office supplies). Coordinates the purchase of instructional supplies, event materials, promotional products and other goods and services. Maintains thorough records of event-related timelines, financial reports, and history.

What your background should be

A minimum of 2-3 years secretarial or administrative support experience, preferably in a high-traffic, multi-constituency office environment. The ability to set priorities, manage multiple tasks and work effectively both as a member of a team and independently is critical. The candidate should possess excellent interpersonal, verbal and written communication skills, as well as a high level of sophistication and maturity in social and professional settings and strong organizational and personal computer skills. Additionally, the candidate must be able to problem solve effectively and confer with others. Ideal candidate would possess knowledge and skills regarding University policies, procedures, and regulations. Strong knowledge and skills in microsoft office, google applications, adobe products, scheduling software such as setster, doodle, and scheduleonce. Strong knowledge and comfort with the evolving desktop/technology functions of office work.

Required Schooling / Training

Bachelor degree preferred
