What you'll be doing
- IT events committee lead conducting monthly meetings, create newsletters, department emails, and organize events outside of business hours. Prepare expense reports and reconciliations for IT senior leadership. May maintain calendars, schedule appointments, prepare itineraries, and make travel arrangements for IT senior leadership. Assist with managing IT admin sharepoint documents and directory. Assist with preparation of meetings booking conference rooms, ensuring space, equipment, scheduling conference calls, catering, etc. Take meeting minutes as needed and may gather and interpret information to develop reports. May prepare emails, letters, memos, reports, and other department communications. Actively assisting with onboarding process for new employees to department. Special projects and additional duties, as assigned, to support IT senior leadership. General department assistance faxing, shipping, day-to-day challenges, guest hospitality. A wide degree of creativity and latitude is expected and assistant will make independent decisions regarding planning, organizing, and scheduling work. Requires continuous use of technical and business vocabulary and a detailed knowledge of organization operations, organizational procedures, and personnel.
What your background should be
- 1-3 years professional experience. Strong organizational and time management skills, with the ability to be resourceful and creatively problem solve. Strong written and verbal communication skills; excellent attention to detail and strong planning abilities with an ability to interact professionally with multiple levels both internal and external. History of balancing multiple priorities simultaneously with the ability to adapt to the changing needs of the business while meeting deadlines. Proactive, requiring little supervision. Excellent attention to detail, organization and accuracy in work with strong follow up skills. Team orientated (working within department and other administrative assistants). Comfortable with ambiguity and a fast paced and ever changing environment. Strong skills in Outlook required; proficiency in Word, PowerPoint, and Outlook preferred; experience with Visio, SharePoint, Publisher, emma, Survey Monkey, and fotor a plus.
