What you'll be doing

Provide administrative support in maintaining calendar, and formatting and proofing memo. Maintain director and deputy director calendar and manage time efficiently when scheduling meeting, conference and briefing. Act as back up for completing travel arrangement using the defense travel system and contract travel agency per the guideline of the joint travel regulation and joint federal travel regulation. Act as a backup to research flight schedule, hotel accommodation, rental vehicle and price to select the best mode of travel to achieve a successful mission for the traveler. Prepare voucher to reconcile travel document for reimbursement and accurate disbursement. Coordinate calendar and visit with external organization and higher headquarters. Act as backup to reconcile travel credit card statement. Update and maintain organization personnel and alert roster. Prepare correspondence, report, and other document in format compliance with army guideline and review and correct all formal correspondence prepared by other. Set up meeting logistic. Set up line of accounting for travel and pay. Process joint personnel adjudication system. Assist in the preparation of personnel award and certificate of appreciation. Assist PD-SS&I personnel with in processing and out processing. Assist IT support personnel with management of telecommunication item. Assist in the completion of officer evaluation report for annual completion. Greet and welcome visitor and receive phone call. Read and act on all incoming correspondence. Establish and maintain office record of various type that may be needed or will assist in the efficient operation of the office. Provide advice and guidance to staff on clerical and administrative matter. Requisition office supply, printing support, and related material. Assist with time keeping function of government personnel. Use a variety of office automation software in support of the organization including Microsoft Office, DTS, ATAAPS, and other commercial and army automated system. Assist operation specialist as needed. Other duty as needed.

What your background should be

3 years of progressive experience relevant to the area of specialty. Ability to type at the rate of 60 word per minute with no more than eight errors. Expert level skill in Microsoft Office Suite (PowerPoint, Word, and Excel) are a must. Must have a DoD clearance knowledge. Basic knowledge of military custom and courtesy.
