What you'll be doing
- Receives and directs visitor, candidate, vendor, etc. to appropriate location and host employee. Prepares and issues parking permits and security badges to visitors; maintains visitor log per in compliance with security measures. Receives and directs incoming calls during normal business hours, or as needed. Performs end of day administrative duties to prepare for each new work day and closes out activities appropriately. Maintains & updates internal phone list for all locations. Maintains postage equipment and supplies. Prepares and sort all incoming mail. Posts outgoing mail and prepares federal express shipments. Receives and distributes FedEx and other deliveries. Coordinates gym waivers and security forms for gym and company access. Prepares name plates, mail slots and performs other duties to prepare for new employee, temporary employee or contractor. Provides administrative support throughout the company including, but not limited to, filing, creating project folders and binders, processing P.O.s and performing data entry. Coordinates concierge services activity, including liaising with vendor and employee to ensure appropriate communication and security. Assists in coordinating employee activities within allotted budgets. Takes inventory of office and kitchen supplies and prepares orders to maintain appropriate inventory levels; stocks incoming orders and monitors use on a daily basis, replenishing as necessary. Interfaces with building contractors and service providers as needed to maintain office operations. Maintains and updates receptionist manual. Performs other duties as assigned.
What your background should be
- At least 2 years front desk and office or clerical experience and skills required. Must possess: solid PC skills including Microsoft Outlook, Word and Excel. Experience handling multiple tasks while managing active reception desk. Ability to interact with all levels of employee within the company and to serve as company representative, using appropriate judgment to answer inquiries and refer callers or visitors to appropriate resources. Exceptional verbal communication skills and strong written communication skills required.
Required Schooling / Training
- High school diploma.
