What you'll be doing
- The incumbent will be assigned as the secretary to the associate director for patient care services (ADPCS), providing clerical support and coordination in support of the numerous and diverse functional areas and programs within the health care system. Candidate will maintain a calendar of appointments, meetings, conferences, and deadlines for the nurse executive. Schedule appointments and meetings based upon personal knowledge of the workload and commitments nurse executive. Serve as recorder and assist in the coordination of activities of committees the nurse executive chairs, including: preparing agendas and handouts; transcribing, finalizing and distributing meetings minutes; maintaining listing of committee members, phone numbers, and mail routing symbols and fax numbers; preparing follow up memos regarding actions and recommendations; maintaining suspense for agenda items to be presented; maintaining committee files; and notifying members of all schedule changes and due dates, coordinating assistance if necessary. Receive and screen all incoming calls and visitors to the office of the associate director for patient care services. Responsible for timekeeping duties for the full-time, part-time employees and fee basis employees under the management staff. Prepare travel requests, arrange travel itineraries, modes of transportation and compute the estimated cost of travel and per diem.

- Ability to generate correspondence, assemble and summarize information. Ability to transcribe letters, memorandums, and reports from dictated material, voice recording, and handwritten drafts into final form. Ability to coordinate meetings and appointments. Ability to operate a personal computer to input and retrieve data. Ability to communicate with members of the public.
