What you'll be doing

Adopts and integrates the company purpose and values, behavioral philosophy, quality commitment and customer services program guidelines into completing all daily activities. Works with the department manager and healthcare services staff in identifying and implementing processes improvements critical to the productive functioning of the healthcare services department. Transcribes prepares and distributes patient and client correspondence. Records demographic and non clinical information into the organizations database. Documents patient satisfaction survey results, as provided by program participants, into the organizations database. Submits all PRO card expenditure requests, maintains and tracks said expenditures and prepares all requests and reports for submission and approval by the departmental director. Organizes and maintains patient medical records including archival of non active records or documents. Works with the communications specialists to ensure adequate telephone services and answering systems including notice to systems when repair or maintenance is required. Retrieves voicemail and messages, documents communications and routes the information to appropriate staff. Processes departmental paperwork, prepares and coordinates departmental in coming or out going mail in bulk and to individual as necessary, determining priority, routing or preparing responses as appropriate for staff and manager signatures. Assists in the production of client instruction manuals and materials. Schedules and coordinates healthcare services staff meetings including distribution of agendas and reference manuals. Coordinates repair or maintenance of office equipment. Orders and maintains office supplies. Attends healthcare services staff meetings, records meeting minutes, types minutes and distributes minutes to staff. Completes special projects within specified time constraints as assigned.

What your background should be

Four years secretarial experience including advanced secretarial duties. Two years of formal secretarial training from an approved business or secretarial school. Specialized training in secretarial skills such as Microsoft Office. Strong background managing calendars, scheduling meetings, video conferences and taking meeting notes and making travel arrangements. Certified professional secretary. Must pass pre-employment skills test as required and administered by human resources.

Required Schooling / Training

High school graduate or equivalent required. Bachelor degree in business, hospital or health care administration or related field preferred.
