What you'll be doing

The coordinator will provide comprehensive support to the GEP marketing lead and other members of his team executing a full range of executive administrative duties. He/she will be located at headquarters. The role performs normal office functions such as arranging meetings, creating and submitting expense reports, making travel arrangements and managing other business needs as requested. He/she will answer questions relating to office operations and established policies and procedures and gather, compile and report on information relevant to GEP. The major responsibilities will include, but are not limited to: proactively maintains complex calendars, accepts and declines appointments, anticipates conflicts, and resolves problems; coordinates activities for meetings and events including ordering food and AV equipment; creates and maintains internal and external contact lists; assists with on-boarding of new colleagues; works with and handles information of extremely confidential nature; ensures accuracy of work and uses judgment to determine work methods in different situations; provides back-up administrative support when needed.

What your background should be

The candidate should be a self-learner who is extremely motivated and willing to go the extra mile. Candidate should have 5+ years administrative experience that demonstrates an ability to carry out all office functions proficiently. The ideal candidate should have exceptional organizational skills. He/she must be able to identify priorities and exercise sound judgment in accomplishing work in appropriate priority order, based on own assessment of urgency and importance, working with a minimal amount of supervision. Candidate should use good judgment while working with highly sensitive, confidential material and information. The ideal candidate should be proficient in MS Word, Excel, PowerPoint, and Outlook.
