What you'll be doing
- The Executive Administrative Assistant is responsible for providing comprehensive administrative support to two Vice President. Primary responsibilities include: complex calendar coordination, scheduling and arranging meetings with internal and external partners. Must have ability to make last minute changes to calendar due to shifting priorities. Prepare heavy domestic and international travel arrangements, expense reports, presentations, memos and correspondence. May scan email for executive and highlight items for review or action. Additionally, position will appropriately handle legal documentation in a timely manner. Assistant will follow up on items delegated to others by executives. Screen call and respond to complex inquiries from all levels of employees or external sources regarding a variety of questions. He/she will interact with various levels of management and may be the point person for the law department and coordinate legal activities/requests. He/she will provide support on contracts, purchase orders, and other administrative support on behalf of the Vice President and departments. The individual must maintain strict confidentiality and exercise independent discretion and judgment to solve complex problems.
What your background should be
- Minimum of 10 years of intermediate to advanced administrative experience is required. The candidate should have a proven ability to work collaboratively as part of a team, possess exceptional communication skills (both written and verbal) and operate with a high sense of urgency while maintaining a high degree of professionalism.
Required Schooling / Training
- Minimum of a high school diploma is required. College degree or 1+ years of advanced administrative education is preferred.
