What you'll be doing

Greet office visitors with an outstanding level of professionalism creating a great brand experience from the first meeting, and assist with check in and general information for their visit. Answer incoming multi-line phone, request information, and transfer calls promptly, courteously and professionally. Assist with assigned executives expense reports. Assist with calendar management for assigned executives. Assist human resources as needed with administrative duties. Stock kitchen and conference rooms with inventory of goods needed during the work day. Support various departments with a variety of administrative tasks and projects as requested. Sort and distribute incoming mail on a daily basis, process outgoing mail, and manage postage machine. Manage catering vendor and organizes food orders for various company meetings. Manage room and meeting set up for recurring meetings as assigned. Data entry, scan and copy department documentation, and file for various administrative needs. Set up work stations for new hires and coordinates scheduling of onboarding meetings.

What your background should be

Proven knowledge and experience in Microsoft Office Products including Word, Excel, PowerPoint and Outlook. Excellent verbal and written communications skills at all levels both inside and outside the company; strong presentation skills, including ability to present a professional image to all incoming guests. Ability to successfully coordinate multiple projects, priorities and schedules simultaneously, meeting all deadlines with strong attention to detail.
