What you'll be doing

Greet visitors entering the organization and answer main phone line promptly, providing exceptional customer service both externally and internally. Escort visitors to correct destination. Deal with inquiries from the public and customers in a positive and pleasant manner. Take and relay messages as needed. Ensure knowledge of staff movements in and out of the organization. Monitor visitor access, assign visitor badges and maintain security awareness. Schedule travel arrangements for employees as needed. Distribute incoming mail and preparing outgoing mail/packages for shipping. Coordinate beverage or lunch needs for training and client/vendor meetings. Provide general administrative and clerical support. Prepare correspondence and documents as needed. Set up conference calls and web conferences. Assist with project scanning, filing, and maintenance of project files (hard and soft copy) in compliance with applicable legal requirements as needed. Monitor and maintain office equipment. Maintain a day by day productivity log of scanning and indexing activities.

What your background should be

Relevant administrative service experience a plus. Strong customer service skills. Excellent proof reading skills. Strong knowledge of office software applications. Able to maintain a professional personal presentation at all times. Exceptional time management skills. Strong verbal and written communication skills. Ability to work with a sense of urgency to meet deadlines and address competing priorities.

Required Schooling / Training

High school graduate.
