What you'll be doing
- The Receptionist is responsible for handles the phones and the reception desk. Receives visitors and clients as prescribed by the department head and the client service team leader and office manager. Refers all incoming calls to the appropriate manager and returns calls as directed. Support and coordinate the needs of all managers by coordinating schedules, managing itineraries, booking travel, composing routine letters and memoranda and replying to requests as directed. Perform all other administrative duties, including filing, photocopying and organizing the work areas, ensuring the work areas are fully stocked as directed. Bill payment process (preparing for sign off, obtaining approval and record management). Assembles and summarizes information as required. Collects and compiles statistics and information from identified sources. Prepares charts, graphs and tables for presentation or inclusion in reports. Update spreadsheets or databases to assist in the tracking of information. Prepares regular reports following established procedures such as call reports, visit reports and volume reports. Routes or answers routine correspondence or questions that do not require supervisor attention.Maintain company internal control standards, including timely implementation of internal and external audit points together with any issues raised by external regulators. Any failures to comply with the above should be reflected in year end performance assessments.
What your background should be
- Minimum four years secretarial/administrative experience. An aptitude for numbers is required. Highly developed communication skills. Should possess a pleasant phone manner and professional demeanor. Requires close attention to detail and ability to handle multiple tasks. Must follow through on tasks. Must have excellent skills in MS Office & Lotus Notes. Knowledge of Access and Internet research skills helpful. Banking background is a plus.
Required Schooling / Training
- Bachelor degree in business, related field or equivalent experience.
